This Privacy Policy explains how TokudAw ("TokudAw," "we," "us," or "our") collects, uses, discloses, and protects personal information when you use our website, booking pages, airport transfer services, customer communications, and related services for Tokyo-area private transportation in Japan.

1. Personal Information We Collect

We collect information you provide directly, including names, email addresses, phone numbers, account details when account features are used, pickup and drop-off locations, dates, times, flight numbers, passenger and luggage details, vehicle selections, booking notes, and booking references.

When you make a payment, payment information is handled by our payment processor, Stripe. We do not intentionally store full payment card numbers in our own systems.

We may automatically collect device, browser, IP address, usage, cookie, log, approximate location, and analytics data when you use the website or booking flow. We may process precise pickup, drop-off, and routing location information when needed to quote, arrange, or operate a transfer.

2. How We Use Personal Information

We use personal information to create, quote, confirm, manage, modify, and fulfill airport transfer and private transportation bookings; calculate routes, pricing, availability, tolls, and parking; coordinate drivers and transportation partners; use flight numbers and flight details so TokudAw team members can manually monitor flight status and coordinate pickup timing; communicate operational updates; provide customer support; process and reconcile payments; maintain records; prevent fraud, abuse, and security incidents; improve our website and booking flow; comply with legal obligations; and protect TokudAw, passengers, drivers, partners, and the public.

3. Booking Confirmation Links

We may create unique booking links for customers, passengers, and TokudAw team members. Anyone with a valid booking link may be able to view booking details such as passenger and contact information, pickup and drop-off details, flight details, child-seat requests, pickup sign text, passenger notes, booking status, and payment status. Booking links should be treated as confidential and shared only with people who need access to the booking.

4. Legal Bases For Processing

Where privacy laws require a legal basis, we process personal information to perform a contract with you, comply with legal obligations, protect legitimate business and safety interests, and, where required, based on your consent. You may withdraw consent where consent is the legal basis for processing.

5. How We Share Personal Information

We may share personal information with drivers and transportation partners who fulfill bookings; Stripe for payment processing; Google Maps and Google Places for maps, address lookup, routing, and location services; Resend for transactional email; PostHog for analytics, product usage measurement, and session replay where enabled by consent settings; Monday.com for operational booking synchronization; hosting, database, operations, and customer support providers; professional advisers; government authorities, courts, regulators, or law enforcement when required or permitted by law; and parties involved in a business transaction such as a merger, financing, acquisition, or asset transfer.

We do not sell personal information for money. We may disclose limited website usage information to service providers for analytics, security, and operations as described in this policy and our cookie or consent tools.

6. Cookies, Analytics, And Maps

Our website may use cookies, pixels, local storage, and similar technologies to operate the site, remember preferences, apply consent choices, measure performance, understand usage, and improve booking flows. Our map and address features use Google Maps, Google Places, and related Google API services, which may process location and address information subject to Google's terms and privacy practices. Where analytics or session replay is enabled, we use privacy controls designed to reduce collection of sensitive booking and payment details.

TokudAw is based in Tokyo, Japan and serves international travelers. Personal information may be processed in Japan, the United States, and other countries where our service providers operate. Where required, we use appropriate safeguards for cross-border transfers.

We retain personal information for as long as reasonably needed to provide services, maintain accounts, support bookings, keep tax and accounting records, resolve disputes, comply with legal obligations, prevent fraud or abuse, and enforce agreements. Retention periods vary depending on the type of information and legal or operational requirements.
